To submit a request to reserve space at the AshCreek Recreation Center, Please contact the management office at 550-7149. This facility may be reserved by AshCreek Association members who are in good standing.

Rental Agreement


A staff member will assist you and tentatively place your reservation request on the calendar. The next step is to complete a rental agreement form which may be picked up at the office. The rental agreement must be returned along with your rental fee and deposit within 14 days. Your reservation will not be guaranteed until you have turned in the rental form and the appropriate fees. All checks must be in the homeowner’s name.

They will be happy to conduct a tour of the facility and help you determine the appropriate space to accommodate your needs. You may also schedule an appointment to meet with one of them by calling the hotline at 550-7149 if you are unable to stop by during office hours.
Reservations are on a first come, first served basis. The Homeowner must be present at all times during the event and will be held responsible for all damages to the facility, equipment, and/or grounds (inclusive of the pool, if rented) during a function and agrees to pay, upon presentation of an invoice, for all costs incurred to restore the facility to its original state.

RENTAL RATES

Rental rates are based on seven (7) hour blocks. All blocks of time include set-up time and clean-up time (unless an additional cleaning fee is paid and the service is coordinated with management prior to the event). Multiple rooms and additional blocks of time may be rented as needed to accommodate your event. Please contact the management office with any questions you have regarding blocks and rental fees. Please note that the entire Virginia Room may be reserved or it can be sub divided into three (3) sections.

Rentals hours are as follows:

9:00 am- 4:00 pm and 5:00 pm – midnight. Should you require a mid-day function, ex. 1:00 pm- 8pm refer to the appropriate column for rates.

POOL

The pool may be reserved after hours for a private party. The cost is $25 plus the cost of lifeguard coverage. An awning may be reserved for a semi-private party during the month of August only. Please contact the management office for more information. Please note that there is no access to the pool without prior permission from the management staff.

KITCHEN

Your rental fee includes shared access to the kitchen. Out of consideration for others, we cannot allow exclusive access to the kitchen unless you have reserved the entire facility. Appliances provided in the kitchen include refrigerator, oven/stove, microwave, coffee maker and blender.

AMENITIES

There are a variety of amenities available for use while renting the facility. The following amenities are provided at no additional charge:

Grill (Propane tank not provided. Please bring your own tank if you plan to use the grill.)

DEPOSIT

A deposit is required to cover any damages that might occur during your event. This will be returned to you following satisfactory inspection after your event. In case of damages, security or cleaning issues, the deposit may be withheld pending investigation and resolution. Deposits are as follows:

AshCreek Room $ 200.00
Virginia Rooms and Conference Center $ 100.00
Entire Facility $ 250.00

PAYMENTS

Please make separate rental fee, deposit and cleaning checks payable to: AshCreek Property Owners’ Association. The rental fee is non-refundable.

ACCESS TO FACILITY

A staff member will contact you prior to your event to arrange a pre-rental walkthrough. At this time, you will receive a key along with a post rental checklist and instructions for cleaning and securing the facility.

Please be advised that loose balloons left in the building may set off motion detectors resulting in a false alarm. Please utilize the tool provided to retrieve stray balloons in order to avoid paying the false alarm fee.

Please note that some rentals may require that you lock and properly secure the building. You will receive instructions prior to your event; however, if the building is left unlocked following your event, or if a false alarm occurs during or immediately following your event, you will be subject to a fine of up to $100.

PEST CONTROL

It is your responsibility to keep all doors and windows closed during your event. Propping open doors and windows has resulted in a serious insect problem. Rental Managers check-in routinely during events, and should the Manager on Duty find doors or windows propped open during your event, you could be charged a $45 extermination fee.

ABC LICENSE

If you plan to serve alcohol, you must obtain an ABC license for your event. You have two options:1. You may pick up a form from the AshCreek clubhouse to complete and mail. OR 2. You may apply for a license on-line using a credit card. Go to: www.abc.state.va.us• click on “LICENSING” in the top banner • click on “FORMS” in the list on the left• click on “SPECIAL EVENT AND BANQUET LICENSE APPLICATION PAGE” in the right hand column• click on the link for “APPLY FOR YOUR BANQUET LICENSE ON THE WEB” and follow directions from there.

ASHCREEK RECREATION CENTER RULES AND REGULATIONS

Everyone who uses the AshCreek Clubhouse is responsible and accountable for adhering to the following rules.

1. An adult homeowner must be present and responsible for any activities involving persons under the age of 21.

2. This is a non-smoking facility. No smoking is allowed inside the Recreation Center including restrooms.

3. Do not attach anything to the painted areas of the facility or use nails under any circumstances.

4. Do not use knives directly on countertops in the kitchen or bar area. Cutting boards are provided for your convenience.

5. No birdseed, rice or confetti may be tossed on the premises.

6. No animals are allowed inside the clubhouse.

7. No illegal activities are permitted.

8. If you plan to serve alcoholic beverages, you must obtain an ABC license for the event.

9. No alcohol may be taken outside of the clubhouse.
